How can the voice system help me get new listings?
Showing a prospective seller your marketing strength
is a great way to get the listing. Before you go
into a listing appointment, record a property
description on your voice system. During your
listing presentation, let them know that anybody passing by
the house will see the For Sale sign with
information on a
recorded property description.
Demonstrate the
advanced technology by having the homeowner call
your toll free number and select the
correct prompt for the audio description of his/her
house. Immediately, while the homeowner is listening
to your recording, your cell phone begins to beep;
you just received a text message from your voice
system. You pick up your phone and show the
homeowner the text message with the homeowner’s
Caller ID (name and/or telephone).
How is the voice system a lead generation tool?
As soon as a prospective buyer calls into to any of
your property listing descriptions on your voice
system, you will immediately receive a message via
email and/or text message that someone has inquired
about that property. You are immediately given the caller’s ID
(name and/or telephone number), and on which
property the caller was inquiring, allowing you
immediately return the inquirer’s call. Even if the caller is not interested in that
property, you now have a strong lead and can offer to show the caller other
properties you represent.
How do I listen to my voice messages?
You receive all messages as a .wav audio file that
you can listen to when you log into your personal
Virtual Office Builder. You also receive the .wav
file voice message in an email.
Do I need special software to listen to my message?
No. Almost every computer comes with software
already built in to listen to a .wav file, which is
the most common computer audio file used.
What phone number will I get?
You receive a toll free number so that the people who call
you are not charged for the phone call. By having a
toll free number, you present a certain level of sophistication and
professionalism and also convey that you are not
limited to representing clients in only one
geographic area.
If I run out of my allotted voice minutes, can I buy
more?
Yes. A block of 100 voice minutes costs $10.00.
Do unused
voice minutes that I get with my
month-to-month subscription roll-over to the next
month?
No. However, if you pay a year in advance, you can
lump together all of the voice minutes to use
anytime in the entire year subscription period.
What do
you mean by lump-sum voice minutes?
By
paying a year in advance, your monthly voice minutes
are multiplied by 12.
You are given them as a lump-sum to be used how you
want and when you want throughout the year. For
instance, with the Yearly Silver Package, you get
3,000 anytime fax pages and 3,000 anytime voice
minutes. On a Month-to-Month Silver Package you get
250 use them or lose them voice minutes and
250 use them or lose them fax pages.
If I use all of my allotted voice minutes without
knowing it, will my voice service automatically
stop?
No. Your credit card on file will automatically be
charged for the additional block of voice minutes.
Do unused voice minutes that I get with the
purchase of a block of minutes roll-over to
the next month?
Yes. Purchased blocks of minutes continue to
roll-over until you use all of them or until your
subscription ends, whichever occurs first.
Does the voice system include an auto-attendant
feature?
Yes. This system provides anyone calling with 24/7
assistance. When you record your Main Greeting, the
caller can be walked through multiple key prompts that you have
already set
up in your voice system. Some prompt examples are General Message, Straight to
Voice Mail, a company Contact List, a Call Forward
-Follow Me Around, or prompts to hear Property
Listings. Each prompt that you have set up can then
have multiple sub-prompts. For instance, each of the
individuals in a Contact List can set up his/her own
Property Listings audio descriptions, General
Messages, and Call Forward - Follow Me Around
action.
How do I get notification that I have a voice
message or that somebody listened to a property
description?
By personalizing your settings, you get to choose
how you receive notifications, through email and/or
text message. The email you receive
includes the message audio file so that you don’t
have to log into the system to hear your message.
Plus, if you want somebody else to listen to the
message, you may forward the email to
that person.
What is call forwarding-follow me around?
Unlike other systems, we allow you to input multiple
call forwarding numbers in the system. We also allow
you to indicate how many rings each forwarding
number should receive before the call is forwarded
to another forwarding number or to voicemail.
For example, you can program the system to have a call
go first to your office phone and, if don’t pick up,
then to your cell phone, to your home phone,
to your assistant, and then to your system
voicemail. Conversely, you can just let your cell phone voice mail pick
up the call.
Can I set up audio recording for my property
listings?
Yes. You can easily record and make available to
your callers detailed audio descriptions of your
listings. Customize your
notifications for email and/or text message so you
know right away that someone listened to a property
description.
Your voice system will send you a message with the
caller’s ID (name and/or telephone number), and on
which property the caller was inquiring.
How do I set up my voice system?
We provide you a user-friendly user web site interface.
The interface includes the following:
Visual System Layout: With our proprietary “system
layout” administration page, you can
visually comprehend the design of the voice system
you created for yourself. You can quickly and easily
see where each prompt that you have set up takes you
in the system. From the “system layout” you can
easily and quickly make changes to your voice
system.
Easy Recording Feature: Either upload pre-recorded .wav files
from your hard drive, or record
your Main Greeting, General
Messages, and Property Listing descriptions directly
into the system
using your computer's
microphone.
Do It Yourself: Manage and modify your voice system
yourself at your convenience without losing valuable
time waiting for a third party to make changes for
you.
